Muscat Motors Ltd is currently recruiting a full-time Warranty Administrator to join our Team for the BMW, Mini, Jaguar & Landrover brands.

 

The Warranty Administrator performs a wide range of administrative and office support duties associated with vehicle warranties.

 

Main Duties and Responsibilities:

  • Process warranty paperwork and ensure documentation is up to date as required by the manufacturer
  • Insert correct warranty data in manufacturer systems, making sure every hour and material cost is claimed and recovered
  • Ensure that all warranty exchanged parts are adequately stored in line with manufacturer’s policy
  • Review warranty claims, correct any errors, and liaise with manufacturer when in doubt
  • Give advice to the workshop on cases of recall and warranty as required and as stipulated by the manufacturer
  • Ensure correct renditions of warranty claims with franchise and applicable reporting on defective parts
  • Maintain good working relationships with the aftersales and parts departments
  • Ensure that customer satisfaction is prioritised with regards to recall campaigns and that these are performed within stipulated time frames
  • To be present and provide documentation to auditors during manufacturer audits.
  • Keep abreast with all warranty updates, factory recalls and any other manufacturer announcements
  • Reconcile all warranty receivables and work with accounts to obtain payments
  • Liaise with the Assistant Manager to ensure the technical implementation of recall campaigns
  • Handle rejected claims according to dealership and/or manufacturer specifications and follow up on outstanding claims
  • Ensure adequate liaison with the body/paint shop where this is involved in warranty work and recall campaigns
  • Maintain all service and customer records as required by the warrantor
  • Attend any required training, (locally and abroad) organised by the company
  • Carry out any additional duties assigned by the Aftersales Manager
  • Adhere strictly to health and safety regulations and company policies together with franchise standard requirements

 

The selected candidate preferably should have:

  • O’level standard of education
  • ECDL and good working knowledge of web-based applications
  • Previous experience in warranty claims will be considered an asset
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
